Data deletion

How to have your information removed from ClinicDesk, what happens when you ask, and how long it takes.

This page explains how to ask Assertica to delete personal information held in ClinicDesk, the WhatsApp assistant clinics use to handle patient enquiries and appointments. It sits alongside our privacy policy, which describes what is collected in the first place.

There is no charge, you do not need an account, and you do not need to give a reason.

How to request deletion

Either of these is enough. Use whichever is easier.

On WhatsApp

Reply to the ClinicDesk conversation with the message:

DELETE MY DATA

We will confirm in the same conversation that the request has been received. Because the request arrives from your own WhatsApp number, no further identity check is usually needed.

By email

Write to eliya@assertica.ai with the subject line Data deletion request, and include:

  • the WhatsApp phone number the conversation took place on, so we can find the right records;
  • the name of the clinic you were messaging, if you know it; and
  • anything else that helps us identify the conversation, such as roughly when it happened.

If we cannot identify you from what you send, we will come back and ask. We will not delete someone else’s records on a guess.

How long it takes

  • Within 7 days — we acknowledge your request.
  • Within 30 days — we complete it and confirm that it is done.

If a request is unusually complex and will take longer, we will tell you why before the 30 days are up.

What gets deleted

  • The content of your ClinicDesk conversation, including everything you sent and every reply.
  • Your name and phone number as held in ClinicDesk.
  • Appointment records created or changed through the conversation, in ClinicDesk’s own store.
  • Operational copies and backups, which are removed on their normal rotation rather than instantly.

What may remain, and why

This is the part worth reading carefully.

Your clinic holds your medical record, and we do not control it. The clinic you were messaging is the controller of your patient data; Assertica processes it on their behalf. When you ask us to delete, we remove what ClinicDesk holds and we pass your request to the clinic — but the clinic may be legally required to keep a medical record for a set period, and that obligation overrides a deletion request. If you want the clinic’s own records removed, ask the clinic directly.

WhatsApp keeps its own copy. The messages also exist in WhatsApp on your phone and in Meta’s systems, which are outside our control. Deleting the chat on your own device is separate from this request, and Meta’s handling of it is governed by their privacy policy.

A minimal record of the request itself. We keep a note that a deletion was requested and actioned, and the date, so we can show the request was honoured. It does not contain the conversation.

Anything we must retain by law, such as records relating to an invoice or a contract with the clinic.

Deleting a whole clinic’s data

If you are a clinic and want everything ClinicDesk holds for your practice removed — on leaving the service or at any other time — email eliya@assertica.ai from an address we already hold for you. We will confirm the scope with you in writing before anything is deleted, and provide an export first if you want one.

If you are not satisfied

Reply to us and say so — most problems are a misunderstanding about which records sit where. If that does not resolve it, you may complain to your local data protection authority.
